Terms &
Conditions
- Bookings are secured by the payment of the deposit (breakage and losses will be deducted from it and the remainder
will be paid back to the client the Wednesday after the function)
- All
buildings on the Rusticana premises are
non-smoking; guests will only be allowed to smoke outside the buildings.
- Two weeks before the function, the
following must
be confirmed:
- The choice of course and menu
- Five days before the function, the
following must
be confirmed:
- Procedures
of day
- Final
number of guests
- Layout
of function areas
- Bar
requirements
- (account
will be payable)
- The final number of guests as
given five days before function will be the number charged for unless
attendance is greater.
- The
whole
account, expect the charges mention in the next bullet, must be paid a day ahead of the function. (Payment
can be made in Cash, by the Internet- / a Bank
transfer or Bank guaranteed cheque) NB:
The deposit may not be deducted from the
invoiced amount.
- The bar account, juice,
pre-reception drinks, overtime costs and breakages or damages are payable
within one week after the function.
- Setup
and cut-off times:
- The
hall is available for setup from 8:00 the morning of the function (except
if there is a morning function, in such circumstances it will be
discussed with the client and adequate space will be made available for
the arrangement of flowers in our storerooms).
- The
hall will only be made available to the client for setup the day before
the function, if there isn’t a function on that day.
- Storage
space for wine & spirits and decorations can be made available by
agreement, during the week before the function.
- Cut-off
times is as follows for functions on:
- Monday-Friday – 1am for music & 2am hall lock-up
- Saturday – 0:00 & 1am hall lock-up
- For morning functions where there is a afternoon function on
the same day – 14:00
- The bar closes at 0:00 on any evening
- Decorations,
left-over wine or spirits, etc. must be collected within a week after the
function; see the “Risk, loss and damages” section.
- Furniture,
equipment and decorations:
- The
provision of Rusticana’s standard furniture and
equipment is at no extra charge. Please ensure that the equipment
available is satisfactory in advance of your function.
- Any
additional items should be supplied or hired by the client at the
client’s cost; we can arrange the hire of equipment on arrangement.
- Clients
must please supply the small decorations like folded napkins (when
necessary), gifts, chocolate, etc. Rusticana
staff will put it on the tables as instructed.
- Candles
may only be placed where management of Rusticana
has inspected it. Rusticana reserves the right
to remove the candles where it is hazardous. Candleholders must be
provided where necessary.
- No
permanent alterations are allowed, this include nails or hooks in the
walls, roof or frames, expect if Rusticana’s
management approved it. Any damage to Rusticana
property including linen, beyond reasonable wear and tear will be charged
for accordingly.
- Polystyrene
& small plastic confetti may only by used in decorations with the
approval management of Rusticana.
- Risk,
loss and damages:
- While Rusticana
does feature a backup generator, we shall not be held liable for
interruptions of electricity services.
- Whilst
precaution will be taken to ensure the safeguarding of your belongings, Rusticana will not be liable for loss or damage to
any property whatsoever (décor props, weddings gifts, valuables, etc). We
recommend that all personal and valuable property be removed directly
after the function.
- Décor
and props must be removed by 10:00 on the day following the function or
the Monday after the Saturday; please arrange a specific time if you want
to come on the Sunday. Any items not removed within seven days of being
placed in storage will be discarded. Rusticana
does not accept liability for loss or damage of any item during this
period.
- Should
the Rusticana building, surrounding gardens,
décor or napery be damaged by the client or clients’ suppliers during the
set-up or break down operations of the function, the client shall be held
responsible and will be billed accordingly.
- Rusticana, its employees or any
person employed at any function will not be held liable for any loss or
injury to persons, due to negligence or any other cause whatsoever.
- Cancellations:
- In
the event of you cancelling or rescheduling
your date, subsequent to the deposit being paid, a refund will only be
made in the event of a new function being booked on that date.
- Should
it however, be possible to rebook a function on this date, we will be
happy to refund you the entire deposit paid.
- In
the event of non-payment of the deposit fee within the time agreed, Rusticana is entitled to cancel a provisional booking
without further notice or liability to the client.
- In
the event of non-payment of fees the day before the function and the
client not discussing an alternative arrangement with management of Rusticana, we shall have the right to cancel the function.
- Rusticana reserves the right to cancel any booking forthwith
and without liability on its part in the event of any damage to, or
destruction of the venue by fire, or any other cause beyond the control
of Rusticana, which shall prevent it from performing
its obligations. In these circumstances every effort will be made to find
an alternative venue.
- The
client must confirm all changes and cancellations in writing.
- Menu
selection:
- Our
menus are interchangeable to accommodate your personal requirements.
Copies of menus available on request.
- Menu
prices are subject to change without prior notice, due to sudden changes
in item prices or annual increases.
- Children
under the age of 12 years will be charged 50% of the agreed adult menu
price. Children under the age of six years will not be charged.
- Food
may not be brought onto the premises, except by arrangement with
management of Rusticana.
- Garden
weddings:
- The
red carpet will only be rolled out just before the bride arrives.
- Only biodegradable confetti
may be used,
e.g. white paper, rose petals, bubbles, popcorn,
etc. No plastic, polystyrene,
foil, coloured paper, etc. may be used.
- Wine
& Bar services:
- We
require clients to brief us regarding the arrangement for the bar – cash
bar or open account. Clients are welcome to set a limit on the total bar
expenditure for their account. In order to maintain control of this
account, we are willing to supply a regular reconciliation of the bar
account during the function.
- The
client & master of ceremony are responsible to arrange the manner in
which wine & spirits must be served to the guests, with the barmen.
- An
updated list of bar prices is available on request.
- Wine
orders need to be placed two weeks prior to the function.
- The
management of Rusticana will discuss corkage fees
with the clients and other agreement in connection with wine or spirits
bought on to the premises.
- The
bar closes at 0:00 on every evening of the week, except if arrangements
were made with management of Rusticana.
- The
management of Rusticana reserve the right to
close the bar facilities at any time during the function, should it be
reasonably necessary.
- Any
damage caused by guests of the client to the Bar facility and equipment
will be charged to the clients account.
- Use
of Lapa:
- The
Lapa can be hired for functions separate from
the banquet hall.
- Clients,
who use the Lapa for a function, while there is
a function in the banquet hall, will not be allowed to play loud music
and must look to it that their function and guest are not a disturbance to
the banquet hall guests.
- If
the Lapa is hired on the self-catered option,
the client must make sure that they leave the kitchen, bar and “braai” area in the same clean state in which they
found it.
- The
Lapa is available for use of the guests in the
guest cottages if there is no function in the Lapa
on that specific day.
- Guests
of the Lapa are welcome to use the swimming
pool, except while a function is in procession in the banquet hall.
- The
Lapa is a non-smoking area.
- Accommodation:
- Accommodation
is available to the public, but the guests of our functions have
preference over availability of our rooms, as far it is reasonably
possible.
- The
Lapa & swimming pool is available for the
use of our guests, except if there is a function in procession.
- We
offer self-catering accommodation, breakfast, lunch and/or dinner is only
served on prior arrangement.
- No
smoking is allowed inside the guest rooms.
- “Braai” facilities is available for the guest
staying over.
- Any
damages to the property of Rusticana caused by
the guests staying over will be charged to their account.
- The
management of Rusticana reserve
the right to cancel any accommodation agreement and deny access to their
facilities for whatever reasonable reason it might be necessary.
- Rights
are reserved by the management of Rusticana not
to have a function if this & other agreements aren’t met.
- Prices
are subject to change without notice, in case of sudden change of prices
from our suppliers.
- Rusticana strive to serve their clients & guests to the utmost
of our ability and to insure that every function is presented in a
professional and excellent way.
